Administrative Assistant II
Summary: This is an hourly position. Administrative Assistant II is the first point of contact for SSFS. Administrative Assistant II ensures the front desk welcomes clients and visitors positively. Administrative Assistant II coordinates front-desk activities, including distributing messages, answering, and redirecting phone calls. Insurance and Billing experience is preferred.
Qualifications: Administrative Assistant II must have prior administrative experiences and minimum high school degree required. Administrative Assistant II must have a pleasant and welcoming personality. Multitasking and problem- solving skills are essential for this position. This role may require flexibility in work hours.
Requirements: Proficiency in MS Office, hands on experience with fax machines and printers, reporting and administrative writing skills, problem solving, strong organizational and planning skills, ability to maintain high customer satisfaction, experience with electronic medical record systems or similar systems, understanding of insurance
Must pass child abuse, dependent adult abuse, sex offender and criminal records checks.

Monday 10:15AM – 7:15PM
Tuesday 10:15AM – 7:15PM
Wednesday 9:30AM – 6:30PM
Thursday 8:00AM – 5:00PM
Friday 8:00AM – 2:00PM
Essential Duties and Responsibilities Include the Following:
· Receives clients at the front desk by greeting, welcoming, and obtaining necessary information from them as soon as they arrive
· Maintains high standards of internal and external customer service by communicating with respect and courtesy
· Obtains payment (copays, deductibles, coinsurance) from clients at check-in if applicable and apply to client accounts
· Checks clients in at arrival for their scheduled sessions
· Schedules appointments
· Responsible for incoming referral process and communicating needs to administrative team
· Contacts new and existing clients regarding appointments or other needed information
· Enter and update client demographic information in the electronic medical record system
· Answers, screens, responds to, and forwards phone calls
· Verifies health insurance benefits and eligibility
· Ensures reception area is tidy and presentable
· Responsible for closing the office each night
· Provides basic and accurate information in-person and via phone/email regarding SSFS and its services
· Documents phone calls and contacts with clients in the electronic medical records system as needed
· Assists with training new administrative employees
· Reviews, monitors, and sends out record requests
· Contacts clients to discuss and resolve past due invoices monthly
· Maintains reports as assigned
· Perform general duties to include but not limited to data entry, photocopying, faxing, mailing, scanning, uploading, and filing
· Other duties as assigned
